This Privacy Policy explains how Roaming With Us (“we”, “us”, “our”) collects, uses, and
protects your personal information when you visit roamingwithus.co.uk (the “Site”) or create
an account with us. We are committed to protecting your privacy and handling your data
openly and in line with UK data protection law, including the UK GDPR and the Data
Protection Act 2018.
- Who we are
Roaming With Us is a Peak District walking and outdoor lifestyle platform run by Adam
Stepney and Charlotte Noon. For the purposes of UK data protection law, the data
controllers are Adam Stepney and Charlotte Noon, trading as Roaming With Us.

- The information we collect
Depending on how you use the Site, we may collect the following:
- Account information. When you create a free account, we collect your username,
email address, a password (stored in an encrypted, hashed form — we never see
your actual password), and a display name. You can optionally upload a profile
photo.
- Newsletter information. If you sign up to our newsletter, we collect your email
address and any name you provide, along with a record of your marketing consent.
- Activity you create on the Site. When you use member features, we store the
walks you save and mark as complete, your total miles, walking streaks and earned
badges, the pit stops and places you mark as visited, the weekend plans you build
and save, and any star ratings or trail condition reports you submit. Star ratings and
trail condition reports may be displayed publicly on the relevant walk page.
- Location information (only when you choose to share it). Some features, such as
“Near me” on the map and location search in the trip planner, use your approximate
location. This is only processed if you actively allow it or type a place name, and we
do not store your precise location.
- Technical and usage information. Like most websites, our hosting and security
systems automatically collect limited technical information such as your IP address,
browser type, and pages visited, in order to keep the Site running, secure, and
working correctly.
- Cookies. We use cookies and similar technologies. Full details are in our separate
Cookie Policy, where you can also manage your preferences.
We do not knowingly collect special category data (such as health or political information),
and we ask that you do not submit it through trail condition reports or other free-text fields.
- How we use your information and our lawful bases
We only use your personal information where we have a lawful basis to do so. Specifically:
- To provide your account and membership features (saving and completing walks,
badges, streaks, plans, visited places). Lawful basis: performance of our agreement
with you, and our legitimate interest in running these features.
- To send you our newsletter, where you have signed up. Lawful basis: your consent.
You can withdraw this at any time using the unsubscribe link in any email or your
account settings.
- To display ratings and trail condition reports you choose to submit. Lawful basis: your
consent and our legitimate interest in providing useful, community-sourced
information to other walkers.
- To operate, secure, and improve the Site, including preventing fraud and abuse.
Lawful basis: our legitimate interests in maintaining a safe and functioning service.
- To respond to your enquiries when you contact us. Lawful basis: our legitimate
interest in answering you, or taking steps at your request.
- To understand how visitors use the Site (via Google Analytics), where you have
consented via our cookie banner. Lawful basis: your consent.
- Cookies and similar technologies. Lawful basis: your consent, except for those strictly
necessary for the Site to function.
- Who we share your information with
We do not sell your personal information. We share it only with trusted service providers who
help us run the Site, and only as needed:
- Our website host (123 Reg / Newfold Digital), which stores the Site and its database
on our behalf.
- MailerLite (MailerLite UAB), our email newsletter provider, which processes your
email address and name to deliver our newsletter. MailerLite may process data
outside the UK; where it does, appropriate safeguards (such as UK or EU approved
transfer mechanisms) are relied upon.
- Google Analytics (GA4), provided by Google LLC, which we use to understand how
visitors use the Site. This is only active where you have consented via our cookie
banner. Google may process data in the USA; Google participates in approved data
transfer frameworks.
- Mapping and location services (OpenStreetMap, OpenTopoMap, and a geocoding
service provided by Nominatim) used to display maps and resolve place searches.
When you use these features your browser may send a request, including your IP
address, to these services.
- Weather data (Open-Meteo), used to show conditions for a walk’s location. This does
not involve your personal information.
- Content delivery networks and font providers (including Cloudflare and Google Fonts)
used to load fonts and small scripts. These may receive your IP address as part of
serving those resources.
- Affiliate partners (including Amazon Associates and Booking.com). If you click an
affiliate link on our Site, you will be taken to the partner’s website where their own
privacy policy applies. We do not share your personal information with affiliate
partners directly.
We may also disclose information if required to do so by law, or to protect our rights, safety,
or property.
- International transfers
Some of our service providers may store or process data outside the UK. Where that
happens, we take steps to ensure your information remains protected to a standard
consistent with UK data protection law, for example by relying on adequacy decisions or
approved contractual safeguards.
- How long we keep your information
We keep your information only for as long as we need it:
- Account data is kept for as long as your account remains active. If you delete your
account or ask us to remove it, we will delete or anonymise your account data,
subject to any legal obligations to retain certain records.
- Newsletter data is kept until you unsubscribe, after which you are removed from our
mailing list.
- Technical and security logs are kept for a limited period as needed for security and
troubleshooting.
- Your rights
Under UK data protection law, you have the right to:
- access the personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to delete your information (“right to erasure”);
- restrict or object to how we use your information;
- request a copy of certain information in a portable format;
- withdraw your consent at any time, where we rely on consent (this does not affect
processing already carried out);
- complain to the Information Commissioner’s Office (ICO).

within the timeframes required by law (usually one month).

123 1113, though we’d appreciate the chance to address your concerns first.
- How we protect your information
We take reasonable technical and organisational measures to keep your information secure,
including encrypted password storage and secure (HTTPS) connections. No method of
transmission or storage is completely secure, but we work to protect your data and to
respond appropriately if a problem arises.
- Children’s privacy
The Site is intended for adults and is not directed at children. We do not knowingly collect
personal information from children under the age of 13. If you believe a child has provided us
with personal information, please contact us and we will take steps to delete it.
- Links to other websites
The Site may contain links to other websites, including those of businesses we feature and
affiliate partners. We are not responsible for the privacy practices of those sites, and we
encourage you to read their own privacy policies.
- Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last
updated” date at the top of this page. Significant changes will be highlighted where
appropriate.
